How dashboard access is set up for team members and external users.

Access inside the organization

By default, all members of the organization can view all dashboards if their role allows it. Editors, Admins, and Owners can edit dashboards. Viewers can only read dashboards and use filters.

You do not have to actively share dashboards for team members to see them. Access follows from the user's role.

Restrict access

If you want certain dashboards to be available only to selected people or roles, set this up through Access Rights Management.

  1. Open the organization admin area through the settings menu in the navigation bar.
  2. Go to the section Restrict Data Access.
  3. Create a restriction for the relevant dashboard and define which roles or individual users should receive access.

As soon as a restriction is active, only the defined users can see the dashboard.

Share dashboards with external users

External users, for example clients or agencies, are added as members of the organization with the Viewer role. Then you restrict access so that they can see only the relevant dashboard. How many external accesses your plan includes is shown in the Plan Comparison.

What viewers can see and do

Viewers can view dashboards and use the time filter. They cannot edit widgets, see data sources, or change settings. This makes the Viewer role suitable for people who regularly consume reports but should not be involved in data management.

Share as PNG

You can export a dashboard as a PNG image. To do so, click Share in the dashboard toolbar and choose Share as PNG. Zweigen renders the dashboard and offers the image for download.

This is useful when you want to pass a snapshot to people who do not have access to the application, for example by email or messaging.
