What self-service data management means

In practice, this means one person in marketing connects the advertising data source and builds the dashboard independently. Leadership sees the metrics in real time without having to ask IT each time. IT or data owners keep control over access rights and data flows.

What you should set up in practice

Define responsibilities

Decide who in the team is responsible for which task:

  • Who maintains which data sources?
  • Who checks data quality before import?
  • Who is the contact person for platform-related questions?

Without clear responsibilities, duplicate datasets and outdated dashboards appear quickly.

Define roles and access rights

Decide who may access which data, dashboards, and settings. Two common models:

  • Central model: A small number of editors maintain data and dashboards. Everyone else gets the Viewer role and sees only approved content.
  • Open model: All team members get Editor rights and work independently.

The central model fits teams with clear reporting processes. The open model fits small, self-organized teams.

Define data quality standards

Specify how data should be prepared before it is imported:

  • Date fields in a consistent format
  • Meaningful and consistent column names
  • No empty required fields

Define refresh intervals

Decide how often each data source should be refreshed:

  • Daily for operational metrics such as revenue or campaign performance
  • Weekly for reports used in team meetings
  • Manually for one-off or infrequent deliveries via XLSX or CSV

With direct OAuth connections, refresh and mapping are largely automated. Manual cadence matters mainly for CSV/XLSX and custom API sources.
